Start with one row per selected variant

Keep the original listing URL, seller or source, item ID, exact option wording and check date. Add measurements and QC references only when they belong to that selection. If an essential value is missing, mark it Unknown instead of copying it from a similar product.

Illustrative example: item 12345 in Black / M and the same item in Black / L need separate rows. A shared picture or URL does not make them interchangeable.

1. Keep the source and the destination separately

Copy the full URL from the original listing into a Source URL field. When the link redirects, record the destination in another field. Do not overwrite the source: the difference can explain why an old row no longer matches what you see.

Record the seller name as displayed, the marketplace or domain, and the item ID if the listing exposes one. A shop name can change and different sellers can use similar names, so a name alone is not a reliable identifier.

Record the date you checked the page. For time-sensitive fields such as displayed price, add the time and time zone when practical. “Checked” means you opened and reviewed the listed fields; it does not mean you bought or inspected the product.

If a link opens a login screen, an unrelated item or an error, record that result. Do not mark it Available merely because the browser loaded something. Keep private order details and account credentials out of shared sheets.

2. Define the fields before adding products

Identity: Source URL, Destination URL, Source domain, Seller name, Item ID and Check date identify what you inspected.

Variant: Original colour label, Original size label, Bundle or quantity option and a separate Normalized key identify the selected option. Keep seller wording even if you also add an English translation.

Evidence: Size chart reference, measurement name and unit, QC image reference and Evidence date describe the information supporting your choice. Leave a QC field empty or Unknown when you do not have order-specific photos.

Decision: Link status, Evidence gaps, Next action and Review date make the row usable later. Price reference should include currency and what the amount covers.

Choose one meaning for each field and write it in a notes tab. A bare “M” or “25” is ambiguous without the seller’s label, measurement type or currency. Do not mix an estimated value and a verified value in the same column without a status.

3. Build a comparison key without losing seller wording

Use a consistent key such as source domain | item ID | colour | size | bundle. This is your worksheet key, not necessarily a SKU assigned by the seller.

Normalize harmless formatting in a separate field: trim leading spaces, use consistent separators and choose consistent letter case. Keep the original colour and size labels unchanged beside it. Do not translate away distinctions such as “off-white” versus “white” or “regular” versus “oversized”.

Illustrative rows: example.com | 12345 | black | M | single and example.com | 12345 | black | L | single remain different records. The domain and item number are examples, not verified product recommendations.

If the seller provides a genuine variant ID, save it as another field. If item ID or size is unknown, flag the row Incomplete. Never invent a missing identifier or infer a variant from a photograph alone.

4. Compare size evidence using the same measurement

A size label is a seller option, not a universal measurement. Keep “M” as the label and record the dimensions supporting your decision separately.

For clothing, distinguish flat chest width from body or garment circumference. A 54 cm flat width is not a 54 cm circumference. Compare measurements taken at the same points and note whether the fabric was stretched. For shoes, keep foot length, insole length and the seller’s recommended size separate.

Save the source of each number: a seller chart, your own garment, or an order-specific measurement photo. A number copied from another item is not evidence for this variant. Record units explicitly and retain the original value when converting.

If two sources conflict, write both values with their dates and request clarification before making a decision. Do not average conflicting numbers or silently choose the one that fits. The sheet organizes evidence; it cannot guarantee fit.

5. Attach QC references to the correct variant

Keep seller photos, community photos and your own order-specific warehouse photos in separate fields. They describe different evidence and should not share a single “QC verified” label.

A similar-looking item from another order may be useful for questions, but it does not prove the condition of yours.

Photos cannot establish long-term durability, authenticity or current seller stock. Decorative or AI-generated website images are illustrations, not QC evidence. Never use them to fill an evidence gap in a product row.

6. Handle duplicate rows and changed listings

A repeated normalized key is a review signal, not an instruction to delete a row. Two rows may record the same variant at different dates, with different evidence or prices.

Compare the source, item ID, option labels and check dates first. Keep the newer observation as a new revision and retain the old record or an audit note. If a seller changes “Black” to another label, record the old and new wording instead of assuming they mean the same variant.

Use simple statuses: Available when the expected listing and option are visible; Changed when identity or options differ; Unavailable when the expected item cannot be accessed; and Unknown when the result is inconclusive.

For an unavailable link, keep the source and check date. A replacement URL starts a new record until you can establish the relationship. Similar photos and matching titles are insufficient proof that two sellers offer the identical item.

7. Separate item price from an order total

Record the displayed amount for the exact selected size, colour and quantity with its currency and check date. A listing’s lowest advertised price may belong to another option.

Use separate fields for item price, domestic delivery, service charges, international shipping and any applicable import charges. Write Unknown for costs you cannot verify. A blank value must not silently become zero.

Illustrative calculation: an item shown at 100 currency units plus 10 domestic delivery equals 110 before any other charges. It is not a final landed cost while international shipping and other charges remain unknown.

Record coupon terms separately rather than applying an unverified discount to every row. This page does not promise active codes or fixed savings percentages. Recheck the selected variant and current checkout figures before payment; a dated spreadsheet reference is not a quote.

8. Use a review checklist before sharing a row

Open the source again and check that it still leads to the expected item. Confirm the selected options, compare the measurements and review unresolved evidence gaps. Update the check date only for fields you actually reviewed.

Before sharing, ask: can another reader identify the source, item and exact variant without guessing? Can they distinguish seller claims from your observations? Are estimated costs marked as estimates? Are private order details removed?

Use a decision such as Keep for research, Needs clarification or Do not use, with a short reason. “Needs clarification: size chart and QC width disagree” is more actionable than a star rating without evidence.
